Administrative Specialist | GBHEM

Reports to:  Assistant General Secretary

Director of Schools, Colleges & Universities (SCU)

Department: Division of Higher Education

Schedule/Status: Monday-Friday; 8:00-4:30; Hourly, Non-Exempt; Specialist-Pay Grade 10

Responsibilities:    The Administrative Specialist will work with the Division of Higher Education staff in Collegiate Ministry, the Black College Fund (BCF), and Schools, Colleges and Universities (SCU) to reach the next level of excellence as we seek to promote the intellectual life of The United Methodist Church. The successful candidate will learn and implement the General Bd of Higher Education & Ministry (GBHEM) policies and procedures, provide fiscal reporting, provide coordination of correspondence, and provide management of databases. The Administrative Specialist will provide programmatic support to ensure efficient planning, implementation, and management of strategic programs within the Division of Higher Education.

Essential Job Functions:

1. Undertake a variety of project responsibilities. Assist with organizing and implementing project or program initiatives.

2.    Assist with implementing programs and initiatives within DHE, working collaboratively with DHE staff; actively participate in articulating the vision, values, and mission of the Division of Higher Education within GBHEM; serve as a member of the administrative team and participate in shared responsibilities therein.

3. Provide general office support services for SCU, BCF, and Collegiate Ministry, including travel planning, travel reimbursements & expense reports; reconciliation of credit card statements; preparation of check requests and purchase orders; maintaining inventory of office supplies; coordinating the flow of mail; maintaining databases; fielding and responding professionally to phone calls/emails.

4. Manages mailings using Microsoft Word and Excel.  Serves as primary contact for incoming (Division) phone calls.  

5. Travels twice yearly to University Senate meetings.  Records and transcribes meeting minutes in a timely, efficient manner.

6. Perform other duties as assigned.

Qualifications: Education:  H.S. Diploma required; Bachelor's degree preferred or equivalence in professional experience 

Other Specialized Knowledge:  Good written, verbal, and interpersonal communication skills; demonstrated skills in writing professional letters, emails, and correspondence to university presidents, corporations, foundations, and other related organizations.  Attention to detail, flexibility, adaptability and a knack for managing multiple projects under tight deadlines. Must be organized, detail-oriented, and comfortable working with diverse teams that serve multiple areas within the Division of Higher Education; strong interest in Methodist higher education and the systems and associations that partner with DHE/GBHEM.  Organizational aptitude for a fast-paced environment; capacity to think critically and anticipate best practices; problem-solving skills.  Strong skills in Office 365, MS Office, and Adobe; ability to schedule meetings and tasks, and manage deadlines.  Knowledge of project management best practices, planning, coordination, and follow-up skills; ability to take initiative and serve as a self-starter and one who brings new energy to DHE/GBHEM.  Background with an understanding of The United Methodist Church’s history and polity is a plus.
