The Council of Bishops is currently seeking a candidate for an addition to the team in the position of Part-Time Administrative Assistant for the Louisville, Ky area. This position will be responsible for providing administrative support to the Ecumenical Staff Officer (ESO). Collaborates with internal and external partners to schedule and offer meeting support appropriately and is responsible for coordinating travel appropriately. Facilitates the visibility of the bishops' ecumenical and inter-religious leadership in coordination with the Director of Communications. The individual must be proficient at: formatting and writing documents, developing and distributing meeting materials, facilitating travel arrangements, and creating and maintaining expense reports and budgets.
Essential functions:
- Performs administrative duties, including maintaining proper files, calendars, arranging meetings, making travel arrangements and communicating with internal and external clients and constituents of The United Methodist Church (UMC).
- Assists in the management of budgets and coordinates expenses and reimbursement requests.
- Responsible for reconciling department credit card and billing and report any discrepancies to the Manager.
- Coordinates meetings, including the preparation of meeting materials, drafting minutes, facilitating travel and coordinating meeting logistics.
- Responsible for responding to emails and calls directed to the Ecumenical Staff Officer Inbox.
- Conducts frequent travel and expense report reconciliation.
- Other duties as assigned.
Qualifications:
- Bachelor's degree is strongly preferred, with an emphasis on English, Religion, Business or related subject.
- 1-3 years of related experience required.
- High level of proficiency with MS Office products including Outlook, Word, Excel, PowerPoint, Publisher and video conferencing.
- Knowledge of general management principles and organizational policies and procedures.
- Knowledge of secretarial procedures.
- Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
- Knowledge of grammar, spelling and punctuation. Excellent verbal and written communication skills.
- Working knowledge of The United Methodist Church and its polity is strongly preferred.
- Ability to multi-task in a fast-paced, high-stress environment is essential.
- Ability to be self-directed and work alone at times.
- Ability to work effectively with staff, and other internal and external constituents of the UMC.
