Job Title: Charter System Administrator
Reports to: Chief Operating Officer
Schedule/Status: Monday-Friday; 8:00-4:30; Non-Exempt
Responsibilities: To maintain the records and communication with all chartered UMM groups, members and miscellaneous donors. Provide exceptional customer service, manage multiple mailings each year, design and have printed material for the constituents. Provide technical support to Conference and/or District UMM leaders and provide complex statistical reports when requested and be able to create new processes on MS Access. Works collaboratively with supervisor on assigned projects.
Essential Job Functions:
1. Manage Charter, donation and membership system by receiving and processing a variety of charter and membership mail, providing customer with correct product and quality service within appropriate timelines and encouraging customer/constituents to charter or become members or the organization. Ability to summarize and communicate in English moderately complex information in varied written formats to internal and external customers.
2. Process data from a variety of source documents and preparing charter certificates and receipts thus developing accurate and complete information, verify addresses with post office standards. This also includes managing storage and supplies for the program
3. May produce complex documents, perform analysis and maintain databases using several different software systems. Assess technical needs of annual conferences, customize data processing programs to meet specific needs, Implement systems and provide technical computer support regarding charter system software.
4. Plan and manage multiple mass mailings for various programs including working with print vendors, providing mailing labels or exporting information to jurisdiction, conference and district leaders
5. Create, write and design of simple fliers, brochures, posters and other documents using Word Processing or publishing Software. Resourcing annual conferences, districts and members.
6. Provide staff support for the Men’s Ministry Specialists and maintain events and resource files on the GCUMM website.
7. Other related duties.
Minimum Qualifications:
Associates Degree in business or equivalent experience. Typing speed of at least 65 wpm. Advanced knowledge of data merging and extraction. Advanced skills with Microsoft applications which may include Outlook, Word, Excel, PowerPoint or Access and other web-based applications. May produce complex documents, perform analysis and maintain databases. Experience using large datasets, collection of new data and report writing. Ability to program or learn programming for several software databases, knowledge of databases. Knowledge and understanding of office procedures; knowledge of English language, grammar, punctuation; Ability to be creative and make independent judgment. Recommended knowledge of UMC structure. Highly detail oriented and organized, with well-developed time management skills. Ability to design simple brochures, fliers, posters, booklets. Must be able to self-manage and operate with minimal supervision and handle assignments that are complex and urgent in nature. Manage multiple unrelated tasks and prioritize in the best interest of the business. Possess strong communications skills. Ability to exercise courtesy and tact with diverse group of external customers; ability to use discretion. Good interpersonal and leadership skills. Be a team member. Over 3 related experience and demonstrated experience in MS Office products, specifically a “super user” of MS Access, Visual Basic or Sql and/or other database software
